ELEKS Human Capital Administration is looking for a  Global Mobility Coordinator in Ukraine.

REQUIREMENTS

  • 1+ year experience in Travel Management or Global Mobility field
  • Understanding of IT services principals and specifics
  • Knowledge of immigration policies and procedures pertaining to work permits, visas and residence permits
  • Understanding of International payroll taxation and double Taxation principles
  • Excellent written, verbal, and organizational skills
  • Bachelor/Master’s degree in Law, International Economics, International Relationship HR or other related field
  • Upper Intermediate level of English or higher

WOULD BE A PLUS

  • Conversational Polish language

RESPONSIBILITIES

  • Organize and coordinate international transfers of employees including material needs, and legal matters, quickly and in a cost-effective manner
  • Be able to help the Transferee and his immediate family members to obtain Visas/Work permit for main applicant (Transferee), Visa for immediate family members and other documentation required
  • Organize and coordinate the process of Transferee’s payments (namely, but not only, relocation bonuses, unused vacations, COVID tests, work remuneration, etc.) and PE closure before the relocation to the destination country
  • Participate in relocation cost estimation (C2C, taxes, travel costs, etc.), in approvals of relocation cost with all Stakeholders of this process
  • Ensure that all of the information provided by the Transferee is accurate and correct, prepare and check all documents, which are required for relocation process
  • Interview Transferees and help with applications filling in
  • Provide Transferee with full information about relocation process and next steps
  • Track and register statuses of relocation cases in Jira, 1C and other internal databases
  • Prepare expense report including Travel, Legal and Transferee’s expenses related to the Relocation
  • Ensure that stakeholders are regularly updated on the status of the relocation process through meetings and correspondence
  • Organize and coordinate the international repatriation process, serves as the main point of contact for the Transferee in the repatriation process
  • Assist with international assignment, permanent transfer, short term assignments (from two up to six months) and new hire management
  • Provide required data to stakeholders to proceed with employment, payroll, health insurance, pension, residence registration and monetary/non-monetary benefits set-up and dismissal of employees in it’s entirety and timely manner
  • Communicate employees all required data regarding International Relocation Policy, consequences of PE closure within relocation to the destination country, other Company’s policies, which relates to the relocation process
  • Oversee all aspects of the Visa and Immigration Service, ensuring that the process runs smoothly. Research in the field of corporate immigration and payroll to advise and provide support for company’s foreign entities on relocation matters, payroll, health insurance, pension funds set-up
  • Support in the coordination of questions on International Relocation Program processes and compliance matters relating to cross-border taxation, social security, immigration, onboarding, repatriation etc
  • Act as the main resource for employees on all aspects of mobility and immigration, including visa/work permit processes and regulatory requirements/ changes
  • Act as the primary service contact for managers, recruiters, HRs and stakeholders throughout the International Relocation processes
  • In cooperation with Accounting and Legal teams, resolve issues with Transferee’s relocation/repatriation process, new employees set up, as they arise
  • Take full responsibility of all Immigration issues and operations, remaining up to date with any changes to legislation
  • Improve the relocation process, disclose process gaps and actively address them to improve the existing process
  • Stay current with new legal and tax developments, trends and innovations, mobility approaches and tools
  • Perform other International Relocation Program-related duties as assigned
